4. The purpose and legal basis for the processing of personal data

The legal basis for the processing of personal data is the controller’s legitimate interest or the fulfilment of the agreement entered into with the controller. The personal data are processed for the purposes of managing client accounts and other related contacts, providing services, developing and designing business activities and marketing. Clients include companies, private traders and consumers.

5. Data content of the register

The client register includes the following data concerning the contact persons of clients and potential clients:

The name, company, position, business ID, mail address, street address, invoicing address, e-mail address, telephone number and order details of the data subject.

Data related to the management of the client relationship and/or marketing purposes submitted by the client.

6. Regular sources of information

Personal data concerning the data subject are primarily collected directly from the data subject and the client’s public website. We primarily collect and process the personal data of our clients’ and potential clients’ contact persons and persons in charge in the client register. Data concerning potential clients are retrieved directly from the potential client with the potential client’s consent upon visiting our website or another personal or digital interaction.

7. Regular transfers and disclosures of personal data

TPI Control Oy may use the services of subcontractors in the processing of personal data. The data may be transferred to partners selected by the controller who will process the data on behalf of the controller according to an agreement entered into by the parties. In such cases, the processor does not have the right to process the transferred data for their own purposes in their own personal registers.

The data may be disclosed to the satisfaction of competent authorities or other parties in accordance with the applicable legislation. In addition, we reserve the right to disclose the data in matters concerning payment recovery or invoicing.

8. Transfers of data outside the EU or EEA

The personal data are primarily not transferred outside the European Union or the European Economic Area, unless it is required due to the technical aspects of performing the processing of data, e.g. if the data subject sends or receives messages by e-mail or via an online proxy. TPI Control Oy reserves the right to use the services of third parties that provide information systems or cloud services.

9. Principles of protection of the register

Manual material:

All printed material containing personal data are stored in the controller’s premises that are kept locked and equipped with an access control system. Only the persons who need access to the printed material are allowed to process the material.

Digitally processed registers:

Only the persons employed by the controller and other persons who require access to the personal data due to their tasks have access to the registers containing personal data. The data are protected by passwords, firewalls and other technical protection measures commonly used in business.

10. Period for which the personal data will be stored

The personal data are stored only for the duration required to fulfil the described purposes or any legal obligations.

11. Rights of the data subject

As a data subject, you have the right to inspect the data concerning you stored in the register and request the rectification or erasure of inaccurate data. The personal data of a data subject are deleted upon the user’s request, unless required otherwise by legislation, unpaid invoices or payment recovery processes.

You have the right to withdraw or change any consents you have given.

You have the right to object to or request the restriction of the processing of your personal data and to lodge a complaint with the data protection supervisor if you feel that we have violated the existing data protection law when processing your personal data (instructions for lodging a complaint).

All contacts regarding exercising the rights of a data subject must be performed personally by visiting the location specified in section 1 during office hours and providing proof of identity.

12. Cookies

Cookies are used on TPI Control Oy’s website. The collected data helps us develop the content of the website and our services. The collected data cannot be traced to a particular person.
